Orbit Employers

If your Active Employee has been locked out of their ORBIT online account.  

Going Forward: The Employee will no longer be required to submit Form ACCTMIDAFF (Affidavit of Identity).

Instead, when a member is locked out of their ORBIT account, they will be directed to contact their Employer (only current Agency Authorized Contacts will be permitted).

The Employer Authorized Contact will request the members ORBIT account be unlocked by email to the ORBIT Employer Reporting (OER@nctreasurer.com) with:

  • Member’s Name & Orbit ID Number
  • Agency Name & 5-Digit Agency Number
  • Name of Agency Authorized Contact making the request
  • Date

ORBIT Employer Reporting will determine if:

  • Email request cannot be processed (or)
  • Email request can be processed (Employer Reporting screens & forwards the information to Member Services. Employer Reporting does not unlock accounts or respond to the Members)

*Note: timeframe, if received each week by Wednesday, members’ Orbit account should be unlocked by following Tuesday.

 

Form ERRWK

The Form ERRWK is used to correct details to payroll records that were reported, but not to increase or decrease the amount of salary (or) to add a record that was not reported or delete a record that was reported.

ERRWK Tips

*Tip: You must record each record as it was initially reported in ORBIT (not your own payroll software that can often be different) in Column A (reported) and how the record should be changed in Column B (corrected).

*Tip: Leave no blank spaces in Column A (reported), and only blank spaces in Column B (corrected) for fields that remain unchanged.

*Tip: Records should be consecutive, and at a maximum one (1) Form ERRWK should address no more than one (1) School Year, not calendar year (For example: if changing the Retirement Service Period Type and Begin & End dates reported by the Agency, changes should be for all REG records for the entire school year).

*Tip: All splits in Column B (corrected) must equal what was initially reported in Column A (reported).

*Tip: In order to get service for any month, the Pay Period Begin & End dates of a REG record must fall within, and touch all the months in the Retirement Service Period Begin & End dates. (Note: When logged into Orbit-Employer Self-Service, navigate to Begin Reporting Here-> View Member Info-> View Membership Info

On this screen you can see both the Pay Period Begin & End dates and the Retirement Service Period Begin & End dates that the Agency reported to check “if” they are within, or if you need to fill out Form ERRWK to correct dates).

*Tip: Dates without “/” separation are not acceptable. Always log into and copy & paste dates from ORBIT (not your own payroll software that can often be different). ORBIT does use “/” to separate MM/DD/YYYY fields.

*Tip: ORBIT automatically sends the Agency a Form ERRWK to complete, whenever the pay period begin & end dates (which reflect the days actually worked, not when paid) make the payroll error of being reported exceeding the Termination or Retirement date, for you to correct these dates and/or certify the Termination Date & Type (Voluntary or Involuntary).

 

Pay Period Dates
ORBIT equates the term Pay Period date with the span of time that the employee actually worked to earn this amount of money. Pay Period does not represent the date when the employee was actually paid.

It is important to report the correct pay period dates to prevent incorrect service credit.

Each year in October, National Retirement Security Month presents an opportunity for workers in all stages of their careers to assess their retirement savings and goals.

The North Carolina Retirement Systems will be promoting the month through social media and have a series of educational webinars for all public servants in North Carolina.

State Health Plan Open Enrollment Oct. 13-31, 2025

This is a reminder to make sure your employees keep their contact information updated with the State Health Plan. Keeping information current allows the State Health Plan to provide members with important updates on benefits, news, and upcoming events—including Open Enrollment. Quick tips for staying informed about your health plan benefits include:

  • Make sure mailing address, email, and phone number are correct in eBenefits, the Plan’s enrollment system. eBenefits can be accessed on the Plan’s website at www.shpnc.org.
  • Make sure employers have correct address. Retirees need to make sure personal information is current in ORBIT and eBenefits as the two systems do not coordinate.
  • Sign up for the State Health Plan’s monthly e-newsletter, Member Focus, at www.shpnc.org/MemberFocus.
  • Follow the State Health Plan on Facebook and Instagram!

 

K-12 Student Contest

Budgeting in 2025: Plan, Save, Thrive! Contest

North Carolina students are invited to showcase their creativity and financial smarts in the statewide “Budgeting in 2025: Plan, Save, Thrive!” contest. Open to grades K–12 across all public, private, charter, and home schools, this competition encourages students to explore what budgeting means today through essays, visual art, videos, posters, or creative writing. Regional winners will advance to a statewide showcase, with top entries honored at a celebration event in early 2026. Prizes include scholarships and recognition on the NC Department of Public Instruction website and social media. Submissions are due by December 19, 2025—don’t miss this chance to inspire the future of financial literacy!
